This article will go over the Extend Visit option and cover the best practices when rescheduling Incompletes so that you can accurately track what days each appointment was on.
When managing Incomplete visits it’s best practice to use the ‘Extend Visit’ option available on the daily schedule. The reason for this is because if you simply move an Incomplete visit it will move the entire appointment and all associated times and notes to whatever day you moved the appointment to.
For example if you had an appointment scheduled for 8/19 and then move it to 8/28. You’ll notice the appt that was on the schedule at 8/19 is no longer there and has been moved to 8/28, which can be confusing as we no longer see at first glance the appointment was there on 8/19 until you go into the Visit summary to review the times/notes that were taken on that day.
Because of this the best practice is to use the Extend Visit option in order to create separate Visit ‘parts’ which allows you to keep the Visit on the initial day while also extending that to be finished on another day.
To extend a visit simply double click that visit on the schedule, and on the right hand side under where you see visit summary there’s an option to Extend visit.
On the schedule itself you should notice that it puts a similar visit next to the initial one that was on the schedule and creates a Pt 2 of 2.
Once you have extended the visit simply move that visit to the day you’re rescheduling the visit for by clicking the day on the calendar in the top right then selecting the time for the appt as if you were scheduling it normally and once you click done that 2nd part will be on the schedule and you should still see the 1st part on the initial day it was scheduled.
Going into the Visit summary you’ll also notice this new dropdown for Extended Visit Part which will allow you to switch between each extended visit and review the times and notes for that specific day.
You can also check the Show all Parts toggle to view all parts information together.
Finally once the job is actually finished you can go back into visit summary and simply click the Complete All Parts option to mark them all as complete as they must all be completed before you can bill those visits together.
