In this article we will cover how a FieldCentral user would utilize the “Seasonal Agreements” field on a property for easier contract management.
Want a smoother way to manage which properties will get which estimates? Or quickly identify which properties have which service agreements (contracts) active on their account? By leveraging the “Seasonal Agreements” field you are essentially able to “tag” a property with an estimate template(s) or multi-bid template(s) for easier contract management. Users are able to update this field both individually at the property level and in mass via export/import. In addition, users are able to then mass action properties with matching Seasonal Agreement “tags”.
Once you have logged into your FieldCentral web account, navigate to the Accounts page via the Main Menu.
Select “Properties” to view the property log.
On this page, add the “Seasonal Agreement” column by selecting the three dots on any of the current column headers.
With this column now visible, users will be able to quickly identify properties with Seasonal Agreements “tagged”.
To add a Seasonal Agreement “tag” to an individual property, users will open the property details and see the field within the Property Overview.
Once the user is in “Edit” mode, they will be able to click the “Seasonal Agreements” field and multi-select which estimate templates they would like to tag.
Once selections have been made, the user will click Done to keep their changes.
Note: Both individual estimate templates and multi-bid templates can be selected from the list.
Additionally, if a template is deleted from FieldCentral, any of its “tags” on a property will also be removed.
When viewing from the Properties log, users will be able to quickly identify which Seasonal Agreements have been “tagged” for the property.
In the event you are using this feature in the Fall/Winter, users will be able to better manage which estimates to mass send to their accounts based on the Seasonal Agreements listed.
When a user opts to Mass Action their list of properties and selects to Mass Create Estimates, they would then select the Estimate Type “Seasonal Agreements” and then select which estimate template they want to mass send to properties with that specified Seasonal Agreement “tag”.
Note: “Tagging” a property via the Seasonal Agreement field will NOT send any estimates to a customer. Users will need to mass send or individually send any estimate to the account in order for the estimate to be sent. The Seasonal Agreements field is intended for internal account/contract management.
If you are leveraging this feature in the Spring/Summer, users would only “tag” the active contract/seasonal agreement on the property. This can be used for making sure to schedule appropriate services or other search/reporting purposes (Ex: How am I doing on properties that have a specific agreement?).
If users would like to edit the Seasonal Agreement tags in mass, they can export the appropriate list of properties from the properties page and then utilize the “Data Import” page to either add these Seasonal Agreement tags or remove them from the specified property.
