Mass scheduling allows HindSite users to prepare hundreds of visits-to-do for scheduling. Using mass scheduling creates visits-to-do in order to schedule individually or schedule using maps.
The general process of mass scheduling includes the following listed items:
- Search Accounts/Properties
- Mass Schedule
- Manage Visits-to-dos
- Schedule Visits-to-dos
Here we will show you how to mass create visits to do in Field Central.
Using the icon, we will click onto the Accounts option.
Next, we will select the desired type of accounts we would like to mass schedule. In this scenario, we will be mass scheduling properties; therefore, we will click the Open button to go into the Property Search.
Next, we either toggle between Active accounts or other account types, such as Contacts or Management Companies. We also have the option to search for the desired account here as well. For other filtration options, you can click onto the icon to customize your desired specifications.
After applying your desired filters, click onto the dropdown menu icon and select the option "Add all to 'Visit To Do'".
From here, you will now be able to choose a desired Service, Rate, Proposed Date, and enter in generic Visit Notes that will be on each and every single contact's visit.
You can also then click onto the /
switch to enable or to disable the desired Work To Do to schedule.
To the right of that, you can adjust the Man Hrs of these visits as well as create Work To Do Notes which will be saved onto the visits as well as onto the account's work to do specific notes.
Lastly, click save to finalize the mass creation of these visits.
Now that we have successfully mass-created our Visits To Dos we can finally start scheduling these visits.
First, click onto the icon and click onto the Visits.
Next, we will navigate to the Visits To Do.
Within the Visits To Do, we have the option to apply certain filters to this screen as well. For example, we can choose specific Properties, Work To Do, and/or also filter based on Proposed / Contract Dates. We also have the option to apply filters per column using the icon.
After entering the desired specification, click the button to move to the next screen.
Next, we will be able to select the properties we want to place onto the schedule from this map view.
To begin, we will have to choose the Schedule On date first. This clarifies which date we are scheduling for. Then we will choose the desired Crew.
**The "Visits To Be Scheduled" should be set to 1 by default. This option is usually only used for maintenance and or lawn care services.**
**The "Repeat Every" option is only used for recurring work to do's. Please use with caution.**
To select the properties, we have 4 ways to select properties within the Map. Please refer to the list below on how to use and utilize the options to your advantage.
- Click directly onto the
pins one by one to manually select your route order.
to create a box around the desired grouping of pins.
to create a set points to grab the desired grouping of pins.
to create a circle radius around the desired grouping of pins.
After selecting your desired grouping of pins, you will also have the option to have Field Central to for you. This will rearrange the selected properties to what works the best.
Next, we can click Schedule to finalize the scheduling.
